Sites typically have six or more different logins per study, and a typical oncology study can require as many as 17 systems beyond the site's own (DIA Global Forum). Sponsor and CRO teams face the same split on their side: operations work in CTMS, finance works in a finance system, and the two meet in spreadsheets and email.
When CTMS and CTFM share one platform, operations and finance work from the same study, the same sites, the same milestones and the same status. Here is what that changes for each role.

Clinical operations directors and managers
Enrolment, milestones and site status sit next to budget, earned amounts and payments. A site that is spending ahead of its enrolment, or a country running over budget, shows up in the same place as the operational reasons behind it.
Study finance teams
Finance no longer waits for confirmation from operations. Completed visits and milestones in CTMS are visible in CTFM, payee and site details are already correct, and invoices can be generated from data the study team has already recorded.
CTAs and start-up teams
Sites, contacts and payee details are entered once and used by both operations and finance. Updates made during the study, such as a new coordinator, reach everyone at the same time.
CRAs
CRAs spend less time answering questions from finance about whether a visit happened or a milestone was met. The visit and milestone records they already keep are what finance uses.
Site coordinators and site finance
Sites can see what has been earned, invoiced and paid through a portal, without emailing the study team. Payments arrive closer to the work, because the data that triggers them is already in the system.
Readiness checklist
- One study and site set-up used by operations and finance
- Milestone and visit definitions agreed between both teams
- Shared dashboard with status and spend side by side
- Payee and contact details owned and maintained in one place
- Site portal access for payment status
- Role-based access, so each team sees what it needs
How Cloudbyz approaches this
Cloudbyz CTMS and CTFM are built natively on Salesforce as one platform. Study set-up, sites, contacts, payee details, milestones, visits, budgets and payments share one data model, so no integration is needed between them, and role-based access controls what each team sees. Investigator and sponsor portals give sites and sponsors their own views. Integrations remain available for external systems where a study needs them. What each role sees depends on configuration.
On the same platform, the Financial Navigator, an Agentforce agent, answers questions on payments and budgets for finance and operations teams, read-only. The CRA Monitoring Copilot prepares visit briefings for CRAs and drafts follow-up letters, with every decision left to the CRA.
