"Integrated" is one of the most overused words in clinical trial software evaluation. It can mean genuinely shared underlying data, or it can mean a single sign-on screen sitting in front of three systems that still don't talk to each other. For a large pharmaceutical organization running significant study volume, that distinction determines whether integration actually reduces reconciliation work or just makes the disconnection less visible.
Milestone status reflected immediately across systems. A visit marked complete in the CTMS should inform expected document status in the eTMF and data entry status in the EDC automatically — not require a manual export or lookup.
Document expectations generated from actual study events. A truly connected eTMF generates expected-document logic from what's happening operationally, informed by CTMS milestones, rather than storing documents independent of that context.
Query context visible without switching systems. Resolving a data query shouldn't require logging into EDC for the query, then separately checking CTMS for visit context.
A single audit trail explaining cross-system event chains. Regulatory review often requires explaining a sequence — a visit occurred, triggering a document requirement, fulfilled, then reflected in a query resolution. That sequence should be reconstructable without manually aligning three separate logs.
Consistent permission management. A user's role and access should be configured once and apply across CTMS, EDC, and eTMF, not duplicated separately in each system.
Native cross-system reporting. A report spanning operational, document, and data status together should be a native capability built on shared data, not a manual export-and-merge exercise.
| Sign | Surface-Level Connection | Genuine Integration |
|---|---|---|
| Milestone status | Updated manually | Reflects automatically |
| Document expectations | Configured independently | Generated from actual events |
| Query context | Requires switching systems | Visible together |
| Audit trail | Separate logs, manual alignment | Unified sequence |
| Permissions | Configured per system | Managed once, applied consistently |
| Reporting | Manual export and merge | Native, shared data |
Sponsor oversight increasingly depends on demonstrating a coherent, connected picture of trial conduct not three separate systems that each individually look fine. For organizations managing significant study volume, the gap between real and surface-level integration compounds quickly across dozens of concurrent trials.
Cloudbyz builds CTMS, eTMF, EDC, and Safety on the same underlying Salesforce-native platform, intended to support data-level integration rather than connecting separately built systems through APIs alone. Milestone data, document expectations, and query context are positioned to be visible together because they're built on shared data structures, not synchronized after the fact.
